The Administrative Associate is a member of the Family Medicine team and assists in greeting patients, admitting, preparing patients, and signing-out patients. This position supports the physician and patient throughout the care process, including preparing bills, typing, and filing charts. At a minimum, must perform established Washington Health System Core Administrative Associate Skills & Responsibilities.

Responsibilities may include but are not limited to:

  1. Greeting patients as they arrive for their appointment. Gathering patient demographic and insurance information and entering this into the electronic medical record system.

  2. Document management: fax-in-box, attaching documents into the patient record, scanning documents into the patient record, collecting of paper forms and distributing them to the medical providers.

  3. Answering phone calls: Patients, staff, and other Health care professionals. Transfer calls, take a message, and if it is a patient call document the call in the electronic medical record. Take off voice mail messages, check patient portal messages and send to the appropriate provider.

  4. Open all mail and address as needed.

  5. Collect copayments, cash and credit card payments, and balance payments at the end of the day.

  6. Check patients out after seeing the physician: Provide patients with a written visit summary, prescriptions, lab orders, x-ray orders, and referrals to specialists.

Work Location: In Person; Travel may be required to all three Family Medicine Offices (Washington, Canonsburg, and Cecil).

Shift: Monday-Friday, daylight (8AM-4:30PM or 8:30-5:00PM). Rotating Tuesdays and Thursdays evening hours until 7PM. No weekends or holidays!
