We are seeking a highly motivated, experienced and diligent individual to join our dynamic team as an Executive Assistant. This is an exciting opportunity to work in a fast-paced environment where you will be directly involved in the day-to-day operations of our office. You will be responsible for a wide range of administrative and executive support related tasks. This role will involve working closely with the executive team and providing high-level support. The ideal candidate will have a proactive approach to problem-solving with strong decision-making skills and a proven ability to handle confidential information with discretion.

Responsibilities:

  • Provide administrative support to maintain efficient office operations
  • Act as primary point of contact for the management of private residences and conduct periodic site visits
  • Work with administrative staff and assist colleagues as required
  • Update and manage information in databases and spreadsheets
  • Develop and maintain physical and digital filing systems
  • Manage senior staff calendars and arrange travel as necessary
  • Coordinate meeting logistics including room setup and catering
  • Work closely with sensitive information while maintaining confidentiality and security
  • Point of contact for incoming visitors, deliveries, and general office inquiries
Qualifications:

  • A minimum of 2 years of experience as an Executive Assistant or in a similar role
  • Experience with a company in the real estate industry is a major plus
  • Excellent MS Office knowledge and English proficiency
  • Strong research and documentation skills
  • Outstanding organizational and time management skills.
  • Familiarity with office management systems and procedures.
  • Excellent verbal and written communications skills.
  • Discretion and confidentiality.
This role requires a highly resourceful team-player. The individual must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
